About Extract Text
Extract Text pulls the text layer out of a PDF in one of three ways: the full text of every page, a list of likely headings, or every match of a chosen pattern such as phone numbers, emails, URLs, dates, money amounts, numbers or your own regular expression. Results can be copied or downloaded as a .txt file.
How to use Extract Text
- Drop in the PDF.
- Choose a mode: Full Text, Headings or Smart Extract.
- In Smart Extract, pick a pattern: Phone Numbers, Email Addresses, URLs & Links, Dates, Money & Prices, All Numbers, or Custom Regex. A custom expression is checked before extraction runs.
- Click Extract Now. Progress is shown page by page.
- Copy everything, copy an individual match, or download the result as a .txt file. Pattern results show the page number and the surrounding words for each match.
When it helps
Collecting contacts from a directory or circular
Pull every email address from a members list or a conference brochure into one column, ready to paste into a spreadsheet. Duplicates are removed automatically.
Finding all amounts in an invoice bundle
Money & Prices finds rupee, dollar, euro, pound and yen amounts and figures followed by INR, USD and similar codes, with the page each appears on, which speeds up reconciliation.
Pulling reference numbers with a custom pattern
A regular expression such as INV-\d{5} lists every invoice number, and [A-Z]{5}\d{4}[A-Z] lists PAN-format codes, each with page and context.
Getting text out of a PDF that resists copying
Some PDFs make copy-and-paste awkward, selecting columns out of order. Full Text gives you the whole text to work from in one place.
Tips
- Custom regular expressions are case-sensitive. Use [Ii]nvoice or a character class rather than expecting 'invoice' to match 'Invoice'.
- Phone Numbers is deliberately broad and can catch dates or long reference numbers; skim the context column before relying on the list.
- If Full Text returns nothing or a few stray characters, the PDF is a scan. Run OCR first, then extract.
- Headings mode works best on reports that use ALL-CAPS titles or numbered sections like 2. or 2.1; on documents styled only with bold or larger fonts it finds little.
Limitations
- No OCR: scanned or photographed pages have no text to extract.
- Line breaks and layout are not preserved. Text items on a page are joined with spaces, so tables, columns and paragraphs come out as continuous text; multi-column pages can interleave.
- Heading detection is a heuristic based on capitals and numbering, not on font size or the PDF's bookmarks, and will miss or misclassify headings.
- Pattern matches are de-duplicated across the whole document, so a value that appears on several pages is listed once, with the first page it was found on. Written month names in the Dates pattern only match when capitalised.
What happens to your files
Text is read with PDF.js in your browser; the document and the extracted text are not uploaded. Results live in page memory until you leave or start again. Copying uses your device's clipboard, and the .txt download is created locally.

Copy or Download Full PDF Text
File Studio extracts all selectable text from your PDF and presents it in a clean, copyable format. Copy the entire text to your clipboard with one click or download it as a TXT file for further processing. This is invaluable for researchers who need to quote PDF content, students compiling study notes, and professionals who need to repurpose text from PDF reports into other documents.
Smart Extraction: Emails, Phones, URLs and Dates
Beyond full-text extraction, File Studio's Smart Extract mode automatically identifies and lists specific data types embedded in your document: email addresses, phone numbers, web URLs, and dates. It also finds money amounts and plain numbers. This is useful for pulling contact details or figures out of long reports without reading every page — as long as the PDF has a text layer; scanned image-only pages return nothing.
Custom Regex Pattern Support
For advanced users, File Studio supports custom regular expression patterns. Extract invoice numbers, order IDs, product codes, or any structured data that follows a consistent format. Enter your regex pattern and the tool scans the entire document, returning all matches in a structured list. This transforms File Studio into a powerful data extraction tool for bulk document processing.
Frequently asked questions
- How do I extract text from a PDF for free?
- Upload your PDF to File Studio and click Extract. All text is displayed immediately — you can copy it to clipboard or download as a TXT file.
- Can I extract specific data like email addresses or phone numbers?
- Yes. Use 'Smart Extract' mode to automatically detect and list all emails, phone numbers, URLs, or dates in the document.
- Does text extraction work on scanned PDFs?
- It works on PDFs with an embedded text layer. For scanned image-only PDFs without OCR, text extraction will not return results.
- Can I extract text from many PDFs at once?
- Yes. Add two or more PDFs and choose a mode once. Each PDF gives its own .txt file, and you can download them all as a ZIP or as one combined .txt with a heading for each file.
- Are my files uploaded to a server?
- No. File Studio is built on a strict local-first architecture. Every PDF operation — merging, splitting, compressing, redacting — runs entirely inside your browser using JavaScript. Your files never leave your computer. You can even disconnect your internet after the page loads and the tools will continue working perfectly.
- Is File Studio completely free?
- Yes, 100% free with no limits. There are no file size caps, no daily limits, no watermarks added to your output, and no account or email required. All tools are free forever.
- Does it work on mobile and tablet?
- Yes. File Studio is fully responsive and works on Android and iOS browsers. All processing happens locally on your phone's or tablet's hardware.
